WhatsApp vs Contact Form for Website Enquiries
Short answer: a WhatsApp click-to-chat button opens a chat with your business number in one tap, which suits quick questions from people on phones. A contact form captures structured details and stores them outside any one phone, which suits quotes and record-keeping. Many business sites use WhatsApp as the main button and log every enquiry, from either channel, in one place.
This page compares the two channels on how they work, what they capture and what the PDPA expects. It contains no conversion-rate claims, because results depend on the audience and the offer.
How does a WhatsApp click-to-chat link work?
WhatsApp's Help Center article on click to chat describes the format:
- The link is https://wa.me/ followed by the number.
- The number is the full phone number in international format.
- Omit any zeroes, brackets or dashes.
- A pre-filled message is added with ?text= and URL-encoded words, for example ?text=I%20would%20like%20a%20quote.
For a Singapore number the link starts with wa.me/65 followed by the 8 digits. The visitor taps the button, WhatsApp opens, and the pre-filled text sits in the message box. The visitor still presses send. Nothing reaches you until they do.
The pre-filled text is the useful part for tracking. Put the page name in it, such as "Enquiry from the pricing page". Every chat then tells you where it started.
What to put in the pre-filled message
The pre-filled text is the first line of every chat, so write it for the person who replies:
- Name the page. "Hello, I am asking from the renovation page."
- Ask for the one fact you always need. "My unit type is:" prompts a useful first reply.
- Keep it under 20 words. Long text looks like spam and gets deleted before sending.
- Use one message per page. A different message on each service page tells you which page produced the chat.
Test every link on a phone before launch. A wrong digit in the number sends enquiries to a stranger.
What does each channel capture?
| Item | WhatsApp click-to-chat | Contact form |
|---|---|---|
| Phone number | Always, it is the chat | Only if the field is filled |
| Name | WhatsApp profile name, which may not be the real name | Typed by the visitor |
| Only if asked in the chat | Field on the form | |
| Source page | Only if put in the pre-filled text | Can be recorded automatically |
| Structured details | Free text, mixed with replies | Fixed fields, such as service or budget |
| Attachments | Photos, files and voice notes | Only if the form has an upload field |
| Consent record | Not captured by the link | Can be stored with each submission |
| Where it lives | On the phone or WhatsApp Business account | In the form tool, inbox or database |
Where WhatsApp is stronger
- One tap on a phone. No fields to fill.
- Fast back-and-forth. Questions get answered in the same thread.
- Photos and voice notes. Useful for renovation, repair or product questions.
- Business tools. WhatsApp says the WhatsApp Business app is free to download, with quick replies, away messages and labels to sort chats.
Where a form is stronger
- Structured fields. A quote needs the same 4 or 5 facts every time.
- Works on desktop without a phone link. Some office buyers prefer email.
- Automatic source tracking. The page, campaign and time are saved with the enquiry.
- Consent stored with the record. The purpose line and any marketing opt-in are logged.
- Not tied to one device. The record survives a lost phone or a staff change.
Record-keeping and the PDPA
A phone number on WhatsApp is personal data in the same way as a phone number in a form. The PDPC list of obligations applies to both: notify the purpose, get consent, protect the data, and stop retaining it when no longer needed.
The practical gaps with WhatsApp are:
- Purpose notice. The link captures no notice. Put a purpose line beside the button and link the privacy page.
- Access. Chats on a staff member's personal phone leave with the staff member. Use a WhatsApp Business account on a company device.
- Retention. Chats stay until someone deletes them. Set a period and apply it to WhatsApp as well as email and spreadsheets.
- Marketing. PDPC's Do Not Call guidelines apply to data applications such as WhatsApp that use a Singapore telephone number.
The same guidelines state that a message sent for the sole purpose of responding to a request for information about a good or service would generally not be a specified message. Replying to the enquiry is fine. A promotion sent weeks later is a different message. It needs a Do Not Call Registry check within 21 days before sending, or clear and unambiguous consent in written or other accessible form.
The full list is in the PDPA checklist for a business website.
When to use which
| Business type | Main channel | Second channel |
|---|---|---|
| Consumer services booked by phone, such as cleaning, tuition, beauty | Short form for after-hours detail | |
| Trades and renovation | WhatsApp, for photos | Form for site address and scope |
| Professional services, such as accounting or law | WhatsApp or form | The other, for clients who prefer it |
| B2B with procurement steps | Form | WhatsApp for quick questions |
| E-commerce | Cart and checkout | WhatsApp for pre-sale questions |
These are starting points, not rules. Watch where your own enquiries arrive and adjust.
How to use both without losing enquiries
- Make WhatsApp the main button on phone screens, with a pre-filled message naming the page.
- Keep the form to 4 or 5 fields. Remove any field you never use.
- Put a one-line purpose notice and a privacy link beside both.
- Send form submissions to one store, not a personal inbox.
- Log WhatsApp enquiries in the same store, with date, source page and outcome.
- Use a company device or WhatsApp Business account, not a personal phone.
- Apply one retention period to both channels.
What about chat widgets and live chat?
A third-party chat widget is a separate script. It loads on every page, may set cookies and sends visitor data to the vendor. Check what it collects before installing it, and compare its load time with a plain wa.me link, which adds no script at all. See the website audit checklist for how to review scripts on a page.
How cense sets up enquiries
cense builds WhatsApp enquiry buttons into every website package, and contact with cense itself is WhatsApp only. The organic leads add-on stores enquiries in the client's own cloud database with the source page and consent records. A free website analysis is sent on WhatsApp within 2 working days. See web design in Singapore and pricing.
How does a WhatsApp button on a website work?+
It is a link in the format https://wa.me/ followed by the full phone number in international format, with no zeroes, brackets or dashes. Adding ?text= with URL-encoded words pre-fills a message in the chat.
Is a WhatsApp button better than a contact form?+
Neither is better for every business. WhatsApp suits quick questions from people on phones. A form suits enquiries that need structured details, attachments or a record outside one phone.
Does the PDPA apply to WhatsApp enquiries?+
Yes. A name and phone number received on WhatsApp are personal data, so consent, protection and retention rules apply as they do to form submissions.
Can I send promotions to people who enquired on WhatsApp?+
Replying to their enquiry is generally not a marketing message under PDPC guidance. Sending promotions later needs a Do Not Call check or clear and unambiguous consent in written or other accessible form.
Should a website have both WhatsApp and a form?+
Many do. Use WhatsApp as the main button and a short form for detailed requests, and send both into one record so nothing is lost on a single phone.
